What the "Attachments" tab looks like
The "Attachments" tab comprises the button bar and the results list.
The button bar contains the buttons with actions that can be performed on the attachments.
Depending on the selected type of attachment, the buttons on the button bar will vary as each document has a different type of associated action. For example, Microsoft Office attachments can be converted to PDF.
Attachments are additional documents to the main document, and just as it is possible to attach documents to an email, R2 Docuo allows you to make attachments to saved documents. Therefore, when you consult the main document, in the same window you will be able to view its attachments.
Attachments are uploaded from the attachments tab in the document details window using the "Upload files" button.
The "Upload files" button opens the PC's file explorer so you can select the documents to be uploaded as attachments.
Attachments will start to be uploaded and when the upload has finished, the attachments will be saved in the R2 Docuo details window.
Other ways of uploading attachments
You can also upload attachments by dragging them from your PC (or emails from Microsoft Outlook) to a document's "Attachments" tab.
The steps to follow are the same as above but instead of using the "Upload files" document, you drag the documents to the results list of the "Attachments" tab.
How to delete attachments
Attachments are deleted from the "Attachments" tab of the details window.
To delete attachments you must select them and while holding the selection click "Delete" on the button bar.
A warning appears asking you to confirm that you want to delete the attachments.
Clicking OK will delete the attachments.
Other ways of deleting attachments
Another way of deleting attachments is by clicking the "Del" button after selecting the attachment to be deleted.
The steps to follow are the same as above but instead of using the "Delete" button, you use the "Del" key on your PC's keyboard.
You can also delete attachments by opening the document's menu options with a right click of the mouse and selecting "Delete" .
A message will appear to confirm that you want to delete the documents, and when you click OK the selected documents will be deleted.
Attachments can be edited from the attachments tab in the details window.
To edit attachments just open the options menu with a right click of the mouse and select "Edit".
The attachment will open in editing mode so you can make the required changes, then save the changes and close the attachment.
When you close the attachment, the attachment's name will appear in red because even though the attachment has been closed, the changes have not yet been uploaded to R2 Docuo.
To upload the changes to R2 Docuo and make them visible to all other users you will need to open the attachment's options menu with the right mouse button and select "Save changes". The name of the attachment will appear in black again and the changes will be visible for all other users.
If you don't want to save the changes you have made, select "Discard changes" to delete the changes made in the attachment.
You can rename attachments from the attachments tab using the options menu.
To change the name of an attachment select it with a right click of the mouse to open the options menu, where you can select "Rename".
A window will pop up for you to enter the attachment's new name.
Clicking OK will change the name of the attachment.
Stored attachments can be downloaded to your PC using the attachments' options menu. If you download several attachments at once, a .zip folder will be generated containing all of them, which will be saved in the selected folder.
To download attachments you will need to select them and then highlight "Save as" in the attachments' options menu.
The file explorer window will pop up so you can select where to download the attachments to.
When the download ends, the attachments will have been saved to the selected location.
How to identify documents with attachments
You can identify documents with attachments from the results list because on the right hand side of the name a clip icon appears along with the number of attachments contained.
The attachments tab in the details window also displays the number of attachments a document has. If it appears empty it is because the document has no associated attachment.
