Where can I configure automatic actions?

Docuo’s automatic actions allow us to automate different tasks on a document, its file-type fields or its metadata. They also allow us to configure the creation of new documents when appropriate.

All of these actions can be configured to occur automatically on the following events:

  • When exiting a process state (available in Docuo Enterprise edition) ( new )
  • When moving through a process transition
  • When entering a process state (available in Docuo Enterprise edition) ( new )
  • When submitting a form (available in Docuo Enterprise edition, although Professional and Business users can set up emails in this event ) ( new )

The actions that we can configure are always the same, regardless of the event that originates them, these may vary slightly in each case, depending on the configuration of the category itself. For example, in a category with a main file, without version control, the following actions would be available:

In addition to the actions on the main file, we could add other types of actions by clicking on the “New” button in the list:

That allow us to define messages, actions on the file type fields (identical to those of the main file), creation of new documents and changes in their metadata.

Depending on the configuration set by the user, the automatic actions can be chained due to a succession of events. Moving forward the most complete sequence would be:

  1. Actions “When leaving the state”
  2. Actions “When moving through the transition”
  3. Actions “On entering the state”

In the case of sending a form that also advances through a transition, it would be:

  1. Actions “When sending the form”
  2. Actions “When leaving the state”
  3. Actions “When moving through the transition”
  4. Actions “On entering the state”
